Camden Civic Centre - General Hiring Fees

Note 1 : Confirmation of non catered event booking - non refundable deposit -  $500 or 50%, whichever the greater; payable within specified hold period of the booking being made.
Note 2 :Confirmation of catered event $1000 payable - non refundable deposit -  within 21 days of the booking being made.
Note 3 : Accounts must be paid in full for all catered events 7 days prior to the event being held.
Note 4 : In the event of cancellation of catered event, deposit paid is non-refundable. Between one to three months of notice, 50 % of the total function cost  is payable.
Note 5 : if cancellation occurs within one month, total function costs are to be paid in full. 
Note 6 : In the event of date change of a catered event or weekend non catered within three months of the function, a $500 change of date fee will be imposed. Specific to catered and weekend non catered events.

Oran Park Administration Building Functions Rooms

Oran Park Administration Centre Function Rooms are available for limited use subject to availability at the General Manager’s discretion. The fee, including any applicable bond, and use is upon application only and will be charged at current market rates less any concessions that may be available under current Council policy.

Community Facilities Definition & Notes:                                                  

(refers to all Community Facilities unless otherwise stated)1- Regular hire- hirers who, in a single booking, hire a facility on a minimum 10 occasions in a calendar year.

  1. Regular hire- hirers who, in a single booking, hire a facility on a minimum 10 occasions in a calendar year.
  2. Casual hire- any booking that does not meet the definition of Regular Hire (up to and including 9 bookings in a calendar year)
  3. All cancellations and amendments to individual dates booked will incur a $22.50 fee per transaction fee
  4. All booking cancellations with less than 14 days notice will be subject to no refund of total hire fees.
  5. Peak Time refers to bookings made on Saturday and Sunday including Public Holidays unless otherwise stated.
  6. Non Peak Time refers to bookings made from Monday to Friday inclusive.
  7. Community rate- Individuals and Not for profit (NFP) entities conducting private functions and/or non-commercial activities. NFP organisations must provide a certificate of incorporation or ruling from the Australian Tax Office advising of their not for profit status.
  8. Commercial rate- applicable to all hirers that do not meet the criteria for Community Rate.
  9. Seasonal hirer of the adjacent sporting field can use facility for club related activities at 50% of the hire fee (Birriwa Reserve Clubroom, Fairfax Reserve Clubroom and Jack Nash Reserve Clubroom).
  10. Harrington Park Community Hall 1 and Hall 2 hire fees includes the use of the craft room for regular hirers if available.
  11. If a hirer is required to be relocated (due to maintenance work, refurbishment, emergency situations) Council will offer the same rate as the existing venue, unless applicable fees are lower.
  12. Fire Alarm Activation - at cost.

Notes:
1. All (non casual ) hirers must hold current public liability risk insurance to a minimum value of $20 million.
2. Exclusive use of the Park applies to the use of three (3) or more of the available arenas, viz, Campdraft/Rodeo, Multi-use, Polocrosse, Pony Club, Dressage, Special Purpose or Cross Country Course.
3. Ground (g) fees include land area together with any associated open pavilions and toilets/ showers, but do not include the hire of the clubhouse. One additional free day per event is allowed for setting up and/ or removal of temporary facilities and equipment only.
4. The weekend and public holiday ground (g), horse (h), competitor (c) and clubhouse fees (excluding peak time hirings) shown in the table are reduced by 25% for Monday - Friday (non public holiday) hirers, provided that where an event commences on a weekday and includes weekend day/s for its completion, the first day of that event shall be charged at  the weekend rate where deemed appropriate and with the prior consent of the committee, a 25% reduction may be applied to ground and horse fees of not for profit non premier equestrian users.
5. Ground (g), horse (h), competitor (c) and camp drafting fees are reduced by 50% for the 2nd subsequent days in the one event, excluding the entertainment (circus) area. This reduction is on the basis that the hirer accepts full responsibility for site and building routine maintenance, cleaning and removal for the period of hire.
6. Payment of fees and bond by non PG's based on an estimate of the number of horses and camp sites, to be made 7 days before the event, with an adjustment for the actual numbers to be settled by a return reduction and/ or cash payment within 21 days after a hirer / committee joint inspection of the grounds and  improvements following the event.
7. The number of horses and/ or camp sites shall be jointly agreed and certified on each occupied day, by a nominated representative of the Hirer and the BEP Management Committee, by way of direct count and/ or referring to the Hirers official event records
8. PG's shall be invoiced for fees and charges after the event for payment within 30 days of the invoice date.
9. The ground, clubhouse, toilets/ showers and other facilities hired must be left clean and tidy with all rubbish removed, otherwise the cleaning and waste removal charges shall apply.
10. The cost of cleaning and repairing damage to the grounds and improvements will be deducted from the bond before making the refund. The cleaning charges and the reasonable cost of repairing any damage in excess of the value of the bond shall be paid by the hirer.
11. Recreational riders are restricted to entry with a maximum of 2 horses per rider during any one day. They shall not use the cross country course jumps.
12. For Clubhouse/Pavilion function hire: (a) Hirer must be 18yrs or above
(b) Safe Party Forms are required if alcohol will be present at the function. These are obtained from Camden Police Station at Narellan. (c) For 18th or 21st birthday party at least one security guard is required. (d) Buildings, toilets and adjacent grounds are to be vacated by 12.30 am and left clean and tidy with all rubbish removed from the site. The hirer is responsible for ensuring that all guests behave responsibly and depart the facility quietly and are considerate of surrounding residents. All lights are to be turned off and buildings and gates locked.
13. Plus other existing conditions of hire not in conflict with the above.
14. Premier Groups/ users refers to include only the following: The Camden Show Society, Sydney Polocrosse Club, Cobbitty Pony Club, County of Cumberland Campdrafting Club, Eventing Equestriad Australia (Eventing).
15. The definition  of General User refer to all commercial and community user groups
16. Premier User Groups, & schools & charitable not for profit organisations attract a 50% discount on those line items specified.

  3. Burial Licence: A burial licence is required before a burial in a cemetery can occur. The licence can be pre-purchased and remain valid of maximum 25 years after which licence can be reissued.
  4. Grave digging: All prices exclude grave digging - Council does not provide grave digging services.
